One of the
most important aspects of this process is the “mind set” or attitude
that you, and the people you involve, have as you proceed through
this process. One way to establish the proper mind set is to assure
that everyone, including yourself, has a clear understanding of:
why you have decided
to undertake this initiative;
what will be involved
in terms of time, activity and commitments;
what are your expectations
in terms of outcomes and benefits, for yourself and for your group
The specific objectives of this briefing meeting
are:
To make clear your
purpose and intent for conducting the MFS™
process
To assure those involved
of the anonymity of their responses and request their complete
candor;
To orient the group’s
perception of the process as one of being of benefit to you and
to them;
To educate them on
how to respond to the survey “Items”.
The Agenda
for your meeting will look something like this:
In
your opening remarks, you will cover the following points:
State that this
meeting will take approximately 30 minutes
State why you are
doing this and what you expect to achieve.
State what your
wishes and outcomes are for the group.
Encourage candor
and truth in survey responses.
You will then move on to describe the overall
process and how it will work:
You will then explain the Others Data Collection process:
Tell them that they
will each have Individual/private use of the Internet Application;
Assure them that
the application’s architecture Guarantees the Anonymity
of every individuals’ responses;
Explain that individuals’
responses will be aggregated into group averages & ranges
of highest/lowest reported responses.
You will then give them specific instructions
for the Others Data Input Process:
Review the “Guidelines
for responding to the MFS™ Others
survey”;
Give them the web
site address and the access codes to the Others's Survey; and
Tell them it takes
about 10 to 12 minutes to complete the survey.
Finally you will solicit questions from the
group and respond to them candidly. Close the meeting with a reminder
of the time and place of the next meeting at which you will share
with them your reactions and your Action Plans.
